Frequently Asked Questions
Everything you need to know about sourcing from China with Providence & Co
General
We are an end-to-end China sourcing partner. Our on-the-ground team in Guangzhou handles everything from supplier discovery and price negotiation to factory audits, in-line and pre-shipment quality inspections, production oversight, and global door-to-door shipping. You deal with one dedicated project manager while we manage the entire supply chain on your behalf.
Three things set us apart. First, we are physically based in Guangzhou — we walk the factories, not just email them. Second, our pricing is fully transparent: no hidden margins, no kickbacks from suppliers, and you see every invoice. Third, every client gets a dedicated project manager who knows your product inside out, rather than being passed between a rotating pool of coordinators.
We have deep experience across agriculture equipment and inputs, automotive parts, consumer electronics, furniture and home goods, mining and heavy machinery, and general industrial goods. That said, our sourcing network spans thousands of vetted factories across virtually every manufacturing category — if it is made in China, we can source it.
We ship worldwide. Our clients span North America, Europe, the Middle East, Africa, and Asia-Pacific. We handle export documentation, customs clearance, and last-mile delivery in your destination country, so geography is never a barrier to working with us.
Pricing & Fees
We offer two models. For most projects we work on a commission basis — a percentage of the order value, which aligns our incentive with yours. For well-defined, repeat orders we also offer fixed-price sourcing packages. During your free consultation we will recommend the model that makes the most financial sense for your specific project.
No. Standard sourcing engagement carries zero upfront cost. We earn only when your order is successfully placed and inspected. If we cannot find you a suitable supplier, you pay nothing. The only exception is highly specialized factory audits or custom tooling projects, which are quoted transparently before any work begins.
Commission typically ranges from 3% to 8% of the order value, tiered by volume and product complexity. Larger orders secure lower rates. The exact percentage is agreed upfront in your sourcing agreement — there are no surprise charges later, and you always see the factory invoice price alongside our fee.
Yes. For clients with repeat orders or clearly specified products, we can quote a flat per-order or per-container fee instead of a percentage. This gives you predictable landed costs and is ideal once a product and supplier are already locked in. Ask us during your consultation whether a fixed package fits your situation.
Process & Timeline
We typically deliver a shortlist of 3–5 vetted suppliers within 3 to 10 business days, depending on product complexity and how specialized the category is. Each shortlist includes factory profiles, pricing, MOQs, capacity, and our recommendation. You choose, and we move straight into sampling and negotiation.
Production runs 15 to 45 days on average, driven by product complexity, order quantity, and whether tooling or custom molds are required. Simple items can ship in under three weeks; complex or newly tooled products may take longer. Once production starts, we monitor progress weekly and keep you updated with milestones and photos.
We manage the full logistics chain door-to-door. That includes booking freight (sea, air, or rail), preparing export and import documents, handling customs clearance on both ends, and arranging final-mile delivery to your warehouse. We work across all Incoterms — most clients choose DDP so the price they see is the price they pay, duties included.
Absolutely. We encourage it. If you are traveling to China we will arrange factory visits, accompany you as translator and guide, and coordinate the itinerary. If you cannot travel, we conduct live video factory tours on your behalf so you can see the floor, meet the team, and ask questions in real time.
Quality & Inspection
AQL stands for Acceptable Quality Limit, the international standard (ISO 2859-1) for statistically sampling a batch instead of inspecting every unit. We select a defined sample size from your order based on lot size and inspection level, then check each unit against your spec. The result tells us with high confidence whether the whole batch meets your quality bar — without inspecting all of it.
We halt shipment immediately. You receive a detailed defect report with photos and the failure classification. From there we work directly with the factory to remediate — rework, replacement, or a revised batch — and then re-inspect before anything ships. You never pay for goods that do not pass, and you stay in control of the final go/no-go decision.
Yes. Before any order leaves the factory we send you a full inspection report including photos and video of the goods, packaging, labeling, and container loading. You see exactly what is being shipped and can approve it before the container is sealed. This is standard on every order, not an add-on.
We inspect to ISO 2859-1 (AQL statistical sampling) by default, and we can layer in client-specific standards, industry certifications (CE, FCC, RoHS, UL), or your own internal QC checklists. Whatever spec you define, we build it into the inspection protocol before production begins so the factory knows the bar from day one.
Payment & Security
We structure payments in milestones tied to verified progress — typically a deposit to start production, a balance after inspection passes, and final payment on container loading. You never release a balance before goods have passed QC. This keeps the supplier motivated to deliver and protects your money if something goes wrong.
Yes. For added security we can route payments through a trusted third-party escrow account, where funds are held and only released to the supplier once you confirm the goods have passed inspection and shipped. This is especially useful for first-time orders or large-value contracts where you want maximum protection.
We support the most common and secure international payment methods: bank wire transfer (T/T), Letter of Credit (L/C), PayPal for smaller amounts, Wise for cost-effective cross-border transfers, and Alibaba Trade Assurance where applicable. We will recommend the best method based on your order size and risk profile.
